Submission Guidelines
Eligibility
- Eligibility:Presenters must be invited or selected through a peer-review process. Only original, unpublished work will be accepted.
Submission Platform
- Submission Platform:Papers should be submitted through the conference’s official online submission system, the Nexus Conferences website, or be sent to us by email at Paper@NexusConferences.ca.
Format
- Format:Submissions must be in the specified format. Common file types include PDF and Word documents.
Language
- Language:Papers must be written in English.
Length
- Length:The paper should typically be 6 to 10 pages, including references, figures, and tables.
Paper Structure
- Title Page:
- Title:Concise and informative.
- Authors:Full names, affiliations, and contact information for all authors.
- Corresponding Author:Clearly identify the corresponding author with email and phone number.
- Abstract:A 150-250 word summary of the paper, covering the research problem, methods, results, and conclusions.
- Keywords:4-6 relevant keywords.
- Introduction:Background information, the research problem, objectives, and significance of the study.
- Literature Review:An overview of existing research and how the current work builds on or differs from it.
- Methodology:Detailed description of research methods, experimental setup, data collection, and analysis.
- Results:Presentation of findings, including tables, figures, and statistical analysis.
- Discussion:Interpretation of results, implications, and how they fit within the broader context of the field.
- Conclusion:Summary of findings, limitations, and future research directions.
- Acknowledgments:Any funding sources, institutional support, or contributors that are not authors.
- References:
- Citation Style:All references should be formatted according to the specified citation style (e.g., APA, IEEE, Chicago). The chosen style should be consistently applied throughout the paper.
- In-Text Citations:Cite sources in the text by placing the corresponding reference number in brackets (e.g., [1], [2]), or by using the author-date format, depending on the citation style.
- Reference List:
- Ordering:The reference list should be ordered either numerically, corresponding to the order of citations in the text, or alphabetically by the last name of the first author, depending on the citation style.
- Details:Each reference should include the author(s)’ name(s), title of the work, publication source, volume number, issue number, page numbers, and publication year. For books, include the publisher and location.
- Examples:Provide examples of how different types of sources (e.g., journal articles, books, conference papers, websites) should be cited.
For example:
- Journal Article (APA Style):Smith, J. A., & Doe, J. (2020). Title of the article. Journal Name, 34(2), 123-145.
- Conference Paper (IEEE Style): A. Smith and J. Doe, “Title of the paper,” in Proceedings of the 2024 International Summit on Mining and Tunnelling Advances, Sudbury, ON, 2024, pp. 100-105.
- Book (Chicago Style):Smith, John A., and Jane Doe. Title of the Book. Chicago: University of Chicago Press, 2020.
- DOIs and URLs:Include Digital Object Identifiers (DOIs) for journal articles and URLs for online resources when available.
Review Process
- Peer Review:Papers will undergo a double-blind peer-review process by at least two experts in the field. Reviewers will evaluate the originality, technical quality, clarity, and relevance to the conference theme.
- Revisions:Authors may be asked to revise their papers based on reviewer comments. A specific deadline will be provided for revisions.
- Final Acceptance:After revisions, the paper will be reviewed again for final acceptance. Notification will be sent to the corresponding author.
Final Paper Submission
- Camera-Ready Copy:Once accepted, authors must submit a camera-ready version of their paper. This version should address all reviewer comments and adhere to the formatting guidelines.
- Copyright Transfer:Authors must sign a copyright transfer agreement, granting the conference the right to publish the paper in the proceedings.
- Registration:At least one author must register for the conference and present the paper. Registration fees must be paid by the deadline specified by the conference.
- Presentation Format:Authors should prepare their presentations following the conference guidelines (e.g., PowerPoint, Keynote). Presentations typically include 15-20 minutes of speaking time plus a Q&A session.
Publication and Indexing
- Proceedings:Accepted papers will be published in the official conference proceedings, which may be indexed in major databases such as IEEE Xplore, SpringerLink, or SCOPUS.
- Journal Special Issue:Selected papers may be invited to submit an extended version to a special issue of a relevant journal.
Presentation at the Conference
- Session Assignment:Authors will be informed of their session and time slot at least two weeks before the conference.
- Technical Requirements:Presenters should test their presentation on the provided equipment and ensure all multimedia elements work as expected.
- Rehearsal:Presenters are encouraged to rehearse their presentation to ensure it fits within the allotted time and flows smoothly.
Post-Conference Activities
- Feedback:Presenters will receive feedback on their presentation and paper from attendees and session chairs.
- Networking:Presenters are encouraged to participate in networking events, panels, and discussions to engage with other experts in the field.
Ethical Considerations
- Plagiarism: All papers will be checked for plagiarism. Any paper found to have significant overlap with previously published work will be rejected.
- Conflicts of Interest: Authors must disclose any potential conflicts of interest in their submission.
- Data Integrity: Authors must ensure the accuracy of data presented and be prepared to provide raw data if requested.
Copyright Transfer Agreement
COPYRIGHT TRANSFER AGREEMENT
This agreement is made between the author(s) of the paper mentioned above (“Author(s)”) and Nexus Conferences (“Publisher”).
- Grant of Rights
The Author(s) hereby transfer and assign to Nexus Conferences the full copyright to the paper, including all rights to reproduce, distribute, and publish the work in any form, both now and in the future, including print, electronic, and other media formats. This transfer includes the rights to create derivative works, license the work to third parties, and deposit the work in digital repositories.
- Author Rights
Notwithstanding the transfer of copyright, the Author(s) retain the following rights:
- The right to reproduce the paper for personal use, educational purposes, or distribution to colleagues, provided that copies are not offered for sale.
- The right to include the paper in a thesis or dissertation, provided that the work is not published commercially.
- The right to republish the paper in a collection of the Author(s)’ works or an anthology, provided proper acknowledgment of its original publication at Nexus Conferences is made.
- The right to present the paper at conferences and seminars.
- Warranties
The Author(s) warrant that:
- The paper is original and has not been previously published or submitted elsewhere for publication.
- The paper does not infringe upon any existing copyright, proprietary right, or the rights of third parties.
- All necessary permissions have been obtained for any material not owned by the Author(s) that is included in the paper (e.g., figures, tables, text).
- The paper contains no libelous, defamatory, or unlawful content.
- The Author(s) have the full power to enter into this agreement and to grant the rights conveyed herein.
- Indemnification
The Author(s) agree to indemnify and hold harmless Nexus Conferences from any claims, damages, and expenses arising from the breach of the above warranties or from any third-party claims related to the paper.
- Governing Law
This agreement shall be governed by and construed in accordance with the laws of Ontario, Canada. Any disputes arising under this agreement shall be resolved in the courts of Ontario.
- Termination
In the event that Nexus Conferences does not publish the paper within 12 months of the conference date, this agreement shall automatically terminate, and all rights shall revert to the Author(s).
- Signatures
By signing below, the Author(s) acknowledge that they have read and understood the terms of this agreement and agree to be bound by them.
